Processing time

Processing time is the time for arranging your visa approval letter and returning it to your registered email. Processing time for visas and passports quoted by are approximate and based on processing time frames provided by the Vietnam Immigration Department; Before deadline 8.00 am and before deadline 12.00 am (GMT+7) (except for Saturday, Sunday and national holidays). Your application(s) will be started, after submitted and confirmed payment, within the above stated time frames OR starting from the next working day/shift otherwise. Processing time should be calculated starting from the first time frame dealine when all the documents and payments are delivered to Submission of orders, payments and the documents after 12 am is calculated from next day, dealine before 8:00 am.

For other processing options during weekends, national holidays, outside office hours, the processing time should be calculated according to information given on our emails, and after received all documents and payments.

In special cases, additional documents or confirmations may be required and processing time may be longer than usual. In such cases, we will inform you by email. Customer are solely responsible for checking their emails, including and not limit to junk/ spam box, due to users email filters.

The Vietnam Immigration Department and/ or other departments/ embassy/ consulate may request additional documents and may delay and/or deny processing at their discretion without further explanations. has no responsibility for any delay, cancellation, financial and other losses due to denial or delay in processing. No service fees, embassy fees, courier fees, shipping charges or any portion thereof will be refunded in case of delay or denial.

Fees and payments

You agree that your credit card(s) will be billed immediately after online verification takes place. You agree to pay all fees and charges for any products or services offered for sale by or by any other vendor or service provider through You shall pay all applicable taxes and shipping charges relating to the purchase of any other products or services. Requirements and fees related to the processing of passports and visas are subject to change, including, but not limited to, embassy consular fees, application forms and documentation required for visa issuance, which are subject to change without notice.

Cancellation and Refund Policy

If you cancel the service you may be entitled to a refund. If your passport and other supporting documents were received by and have already been started processing and/ or submitted by for processing at the time of cancelation you will not receive any refund; however, if the submission has not been made at the time of cancelation you will receive a partial or full refund equal to the difference of any fees paid, return shipping charges, and processing charge.

You may cancel by using our contact-us form function on our website. cannot process refunds for Credit Card payments over 3 months old under any circumstances. In such cases may issue a store credit applicable to future applications submitted through Credit cannot be applied to applications submitted through other agencies or applications submitted to Consulates and/ or other institute directly. reserves the right to decline to process your visa application for any reason, including but not limited to incomplete documentation, insufficient processing time, or unusual circumstances. In such cases, a full refund will be given.

If for any reason you wish to cancel your service before your visa application was changed to status of “processing”, you can do so without any charge or penalty via email. In such case, a full refund will be given.

If for any reason you wish to cancel your service after your visa application was changed to status of “processing”, no refund will be given and the service will be completed.

No refund will be given once your visa approval letter has been approved by the Vietnam Immigration Department.

If ordered other services, e.g airport assistance, Fast track, car transfer etc., and no cancellation within 36 hours prior, no refund will be given. Cancellation of hotels booking varies according to the respective hotels terms and conditions at any time.

No refund will be made once our service is completed and your visa approval letter is sent to the email as provided by you during online visa application. In case you cannot receive your visa approval letter on time as informed by us, please immediately contact us via email support@ or contact form. Failure to do so also results in no refund. We are not responsible for any loss/delay caused by wrong email or information provided by applicant without notifying us in advance.

No cancellation and no refund will be made in case you decline to get a visa approval letter containing incorrect details caused by your mistakes. We strongly recommend you check your visa confirmation letter against your passport and personal information prior to departure.

Different visa types have different restrictions. E.g. visa on arrival is applicable to air travel only, so with applying through our website, you agree that you will fly to Vietnam in order to get your visa stamped at the arrival airport. We will not refund in case you DO NOT enter Vietnam by air once your visa approval letter is issued. Visa Code at embassy is only for getting visa stamp at a pre-chosen embassy or consulate. The routine at the pre-chosen embassy has to followed.

Fail to make payment in time, we will cancel your visa and/ or services without further notice.

All the fees will be refunded in case your application is declined. Depending on card issuers, the refund process may take 15-20 working days.

For Vietnam Visa Fast-track or Airport Assistance Service

No fee will be charged:

  • In case you cancel your service(s) before making payment of service fee even if you do not inform us.

No refund will be made if you cannot receive the service(s) because:

  • You do not inform us about changes in your flight information at least 36 hours prior to your landing time.
  • You do not call our hotline, or call our hotline without following our instruction when you cannot find out representative(s) at the arrival airport.

Full refund will be made if you cannot receive the service(s) due to our fault in following cases:

  • You cannot find our representative(s) at the arrival airport even though you call us at our hotline and follow our instruction.
  • You get no answer or no assistance upon contacting us via our hotline when you cannot find our representative(s) at the arrival airport

  5. aims to process the visa application in the timelines committed to in its promotional materials. will use its best endeavors to minimise any delay or inconvenience caused in this respect. However, does not guarantee time guidelines for any visa application. will not be held responsible should the immigration authorities or any other third party change their rules, regulations or processing requirements if that change has a direct effect on the timeline for delivery.
  6. Visa processing times shown on promotional materials are standard/average processing times. Any processing times advised by its agents or materials should be used as a guide only.
  7. will not be held whatsoever responsible for costs incurred due to a delay in the visa process due to circumstances outside of our control.
  8. bears no responsibility whatsoever for costs incurred by an applicant or any secondary applicants while waiting for a visa to be finalised by the immigration authorities. These costs may include but are not limited to cost of flights, rent of accommodation, loss of earnings or any other costs. is not liable for any costs arising from any action or inaction of any immigration authority, embassy or government body associated with the visa process or indeed for the non-provision of service from any third party associated with the visa process or visa delivery; which may result in a visa application or any part in the visa application process being delayed or refused as a result.
  9. For short stay business and tourist visas, may apply for a Double or Multiple entry visa on the clients behalf, yet the embassy, immigration, authorities and/ or institution may decide to grant a Single entry visa. The decision to grant a Single entry visa remains solely with the embassy, immigration, authorities and/ or institution, and do not have control over this. In this situation, will discount your next visa application with us by the difference in the visa fees.
  10. For any visa, in particular a tourist or business visa, the client should not book a flight ticket unless the embassy, immigration, authorities and/ or institution has specifically requested evidence of this as a requirement for the visa application.
  11. An embassy may decide to review an application in the destination country rather than at the local embassy. This decision is at the discretion of the embassy and it is not something that would be known in advance by It may take longer than the standard processing time for such applications to be processed and this is outside the control of reminds you not to book flights until your visa is granted.

Similarly, the immigration authority / officer has the sole decision on the activation date that they place on a granted visa.   16. advises its clients on visa options and applies for visa applications on their behalf in good faith based on immigration information made available directly by immigration and embassy departments at the time of lodgement. Certain documentation required for a visa application may be valid for a certain period of time and become invalid thereafter (for example medicals, skills assessment results, police clearance reports). It is the client’s responsibility to ensure that the documentation provided to at the time of submitting a visa application are valid and within date.
  24. will provide the relevant medical forms to a client, should health examinations be required. will also provide the client with a list of authorized doctors that are eligible to carry out these medicals. However have no part in the process of carrying out these medicals or providing these medical results to the Immigration Authorities for further processing.

  26. The results of health examinations are valid for 12 months from the date of issue. If the medical results provided to the Immigration Authorities have expired by the time an immigration officer reviews these results for the visa application, the client is responsible for providing up-to-date medicals and paying any associated costs.
  27. The results of character checks / police clearances are valid for 12 months from the date of issue. If the character checks / police clearances provided to the Immigration Authorities have expired by the time an immigration officer reviews these for the visa application, the client is responsible for providing up-to-date character checks / police clearances and paying any associated costs.
  28. The results for assessments and visa applications are valid for a limited period of time. The client is responsible for ensuring that the result for an assessment or visa application is provided to, not less than 30 days prior to the date of expiry of that result.
  29. Restricted countries. Visa applications may be finalized 7 working days of lodgement. In some instances, applications may be referred to an Immigration Office or Government Office for further processing. Referred applications may take longer time to finalize once all outstanding information is received.
  30. Should you choose to purchase any of the services offered by, either electronically or via the telephone; and wish to settle payment for that service by either cash, bank draft, postal order, cheque, credit card, debit card or bank transfer; you acknowledge that you agree to the terms of service. You acknowledge that you are responsible for any additional fees that may be required to facilitate the visa application or ancillary service including but not limited to fees in connection with medical reports, Chest X-rays, court documents, couriers, translation services, certification of documents, police checks or passport renewals.

If a client pays to assess documentation / Pre-Check for a visa application or for any part of that application, this assessment will involve a review of documentation provided to prepare an application for lodging to the relevant organization. Document assessments / Pre-Check are non-refundable should the client decide for whatever reason not to proceed with the application once has begun to assess the clients documentation.
  37. If a client pays to assess documents/ prepare a visa application or any other service for lodgement and change their mind, the fee is non-refundable. In some cases, a credit for the balance of the fee paid (after an assessment of costs for work carried out to date) may be put towards a future visa application for the client.
  38. If an application has become ineligible due to Immigration policy changes that have been introduced between when the application was accepted by but before the application is lodged to the Immigration Authorities, no refund is forthcoming for the assessment of the client’s documentation where has provided this service.
  39. If, after registering for the visa application with you wish to withdraw the visa application and that application has not been submitted and/ or processing to the Immigration Authorities, assessment and/or administration fees apply.

  45. You must travel with the same passport you hold at time of completing your application. If you obtain a new passport after your visa has been issued, you need to contact support to have your visa re-allocated to your new passport. In this case, re-allocation fees apply.

  57. Correspondence between Immigration and with regards to any visa application is strictly confidential and is not subject to further distribution to third parties (including main applicants).

It is the client’s own responsibility to ensure that he familiarizes himself with his visa activation date and that the client enters the country to activate his visa before the visa activation date passes. The client’s visa is liable to be cancelled once the visa expiration date passes if the client has not entered before this date. The client bear’s all responsibility and liability in such situations.

Vietnam visa approval letter is usually issued in group, therefore you may find your name, passport number and date of birth in the same letter as other people.
